Massage Service Policy

1. Introduction
Massage therapy supports both physical and emotional well-being. It can ease muscle tension, support healthy circulation, reduce discomfort, and improve range of motion. It also helps people manage stress, maintain emotional stability, and experience deep rest.
Clear communication is essential for us to tailor your session to your individual needs. Let your provider know about any medical conditions, symptoms, or goals you may have. This information allows us to offer safe and personalized care.
The guidelines below are intended to protect the quality of your experience and help maintain a respectful, professional setting. Thank you for your understanding.
2. Provider Types, Supervision, and Titles
We offer massage in 2 formats. One is through our student massage program, and the other is provided by massage therapists who are licensed in the Commonwealth of Virginia.
- Student Massage (Student Massage Therapist): These sessions are carried out by students currently enrolled in our massage therapy education program. The sessions are part of their supervised clinical training. These students are called Student Massage Therapists. They work under the guidance of licensed massage therapists and are supervised by qualified instructors who are approved by our school.
- Licensed Massage Therapist Sessions: These appointments are provided by massage therapists who hold an active license to practice in Virginia. On our website, the word Graduate may appear. This label refers to care delivered by licensed massage therapists.
- Use of Professional Titles: We only use the terms massage therapist and licensed massage therapist for those who currently hold a valid state license. Students are identified using the title Student Massage Therapist.
Please keep in mind that massage therapy is not a replacement for a medical diagnosis or treatment. If you have health concerns, speak with a licensed medical provider.
3. Registration
New clients, as well as those returning after more than 6 months, must complete registration online and book an appointment in advance. This must be done before receiving services.
4. Consent, Boundaries, and Session Expectations
Your comfort and consent guide every session. You can ask questions, request changes in pressure, ask to avoid an area, or end the session at any time. We also reserve the right to stop a session if we believe it is not appropriate or safe to continue.
Massage is focused on therapeutic care. We do not provide sexual services of any kind. Any request for sexual services will end the session immediately and may result in being permanently denied service.
5. Privacy
We treat your personal information and any information you share for your session with care and respect. We use it to support safe, appropriate services and to manage your appointments.
We do not sell client information. We may share limited information with trusted service providers who help us operate our business, and we may disclose information if required by law. For more detail, please review our Privacy Policy on our website.
6. Health, Safety, and Contraindications
Please tell us about injuries, recent surgeries, allergies, pregnancy, or any condition that could affect your session. If you are feeling sick, have a fever, vomiting, contagious symptoms, or a new rash, please reschedule.
If we believe massage is not appropriate due to health or safety concerns, we may postpone or modify the session. When in doubt, check with your medical provider.
7. Draping and Professional Standards
Clients are draped at all times. Only the area being worked on is uncovered. If you have preferences for draping or areas to avoid, please tell your provider before or during the session.
8. Cancellation and Missed Appointments
In order to be fair to all clients and our staff, the following policy is in effect.
- Please notify us at least 12 hours in advance if you need to cancel or move your appointment.
- Appointments that are canceled with less than 12 hours’ notice, or missed entirely, will result in a $40 fee.
- Clients who repeat this behavior may be required to prepay or may lose the ability to make future bookings.
Cancellation and missed appointment fees must be paid before booking another appointment.
9. Arriving Late
- If you arrive late, we will provide the remaining portion of your session. The full service fee will still apply.
- Clients who are more than 15 minutes late without contacting us may be marked as absent and charged the corresponding fee.
10. Conduct and Behavior
Every client is expected to behave in a respectful and professional way at all times. Inappropriate behavior is not accepted.
- Any verbal, physical, or sexual misconduct will lead to the immediate end of the session.
- Providers have the right to stop a session if they feel unsafe or uncomfortable at any point.
- Violations of this nature may result in being permanently denied service.
11. Refund Policy
All sales are final. Refunds are not available for the following items.
- Services that have already been completed
- Appointments that were missed
- Packages that were paid for in advance
If there is an issue with your service, please let us know before you leave so we can address it.
12. Packages, Gift Cards, and Certificates
Packages and gift card purchases are not refundable and are not redeemable for cash except where required by law. Gift cards and digital gift certificates may be transferable at our discretion.
Gift cards and digital gift certificates are sold in dollar amounts only and can be applied toward services or eligible items at checkout.
Gift cards and digital gift certificates expire 5 years from the date of purchase or issuance. After expiration, any unused value is forfeited.
Treat gift cards like cash. If a gift card or certificate is lost or stolen, we may not be able to replace it. If you have proof of purchase and we can verify a remaining balance, we may be able to help, but replacement is not guaranteed.
13. Gratuities
Gratuities are welcome and appreciated, but never required. Many clients choose to leave a tip as a way to thank their therapist for their care and attention. A customary amount is generally between 15% and 20% of the session cost, though the amount is entirely up to you.
You can leave your gratuity in cash or request to include it during the checkout process. 100% of your tip goes directly to your therapist. If you have questions about gratuity, feel free to ask the front desk during your visit.
14. Payment Methods
We accept cash, debit cards, and all major credit cards. Please bring your preferred form of payment with you to the appointment.
If you are using a gift card or gift certificate, be sure to bring it with you so we can apply it to your balance. You may also request an itemized receipt for your personal records or insurance reimbursement.
Payment is due at the time of service unless arrangements have been made in advance.
15. Student vs Licensed Sessions
We offer 2 types of massage sessions: those provided by licensed therapists, and those provided by students currently enrolled in our massage therapy program.
Student Massage Sessions are part of a structured clinical learning environment. These sessions are performed by students under the supervision of licensed instructors. Student massage therapists are available March through June as part of their internship training. A supervisor may quietly enter the room at the start, during, or end of the session to observe or assist the student as part of their required training. This process is discreet and respectful, and your comfort is always a top priority.
While the environment is educational, it is also professional. You will receive care that follows a clearly defined therapeutic protocol, and students are held to strict standards regarding conduct, technique, and client safety.
Licensed Massage Sessions are conducted by graduates who have completed their training and hold a current license to practice massage therapy in the Commonwealth of Virginia. These sessions allow for more customization and typically suit clients seeking deeper pressure or focused therapeutic work.

16. Minors
Clients under 18 must have a parent or legal guardian complete the required consent forms before the appointment. A parent or guardian may be required to remain on site or in the treatment room based on the minor’s age, comfort, and the nature of the session.
17. Insurance and Reimbursement
We do not bill insurance directly. However, we are happy to provide you with an itemized receipt upon request that includes the therapist’s credentials, service description, and date of service. This receipt may be used to submit a claim to your insurance provider or health savings account (HSA/FSA).
Please check with your insurance company in advance to see if massage therapy is eligible for reimbursement under your plan.
18. Accessibility and Accommodations
We are committed to providing a welcoming and accessible experience for all clients. If you have mobility needs or require specific accommodations, please let us know when booking so we can make arrangements in advance.
Our clinic is equipped with accessible entrances and restrooms. If you need additional assistance such as support transferring onto the table, visual or hearing accommodations, or extra time for communication, we are happy to help.
19. Recording and Photography
For privacy and safety, recording or photographing in treatment areas is not allowed unless we give written permission in advance.
